PHC: Business document automation

Customer
Pears Health Cyber (PHC) is a Czech pharmaceutical and healthcare company. Their projects include, for example, online pharmacies Lekarna.cz and Mojalekaren.sk, a health education website Ordinace.cz and an online university for doctors EUNI.cz.
Customer requirement
For Lekarna.cz and Mojalekaren.sk, PHC takes goods from more than a dozen different suppliers. Suppliers provide delivery notes and invoices in many different electronic formats, often incompatible with the warehouse management program used by PHC.
Thus, a significant number of documents could not be processed automatically and had to be manually entered into the ERP program by PHC staff. Manual data entry left some room for human error. Moreover, it was very time-consuming.
Solution
We designed an application that automatically processes delivery notes and invoices in the four most commonly used formats and connected it to the PHC’s ABRA system. When a vendor invoice or delivery note is received, the application pairs the document with the vendor through a template and sends it to the ERP system using the REST API. There, the warehouse and accounting offices continue to work with the data.
Automating the entire process helped PHC save time and avoid human errors that occurred when data was entered manually. Thanks to the integration of the application, the processing of delivery notes and invoices has been accelerated and refined. Today, PHC has a clear overview of their inventory and accounting data.
